How are employee records maintained?

MalayHire maintains a complete digital employment record for each employee for the duration of their engagement. This includes:
- Signed employment contract and any amendments
- Identification documents submitted during onboarding
- Monthly payslips and payroll history
- Leave records (approved, rejected, taken)
- Statutory contribution history (EPF, SOCSO, EIS, PCB)
- Termination documentation when applicable
Client-side HR notes (performance records, disciplinary correspondence) are maintained by the client company and are not stored on the MalayHire platform unless submitted for HR assistance purposes.
Upon termination of employment, MalayHire retains records for the minimum period required by Malaysian law and data protection regulations. Clients can request employee records exports at any time from the dashboard.
