Privacy Policy

Last updated: June 2026 — this page is a draft pending legal review and may change.

1. Who we are

MalayHire ("MalayHire", "we", "us") is the local employer of record for foreign companies hiring employees in Malaysia. This policy explains what personal data we collect through malayhire.com and our platform, why we collect it, and the choices you have. MalayHire is used by businesses and individuals around the world, so we aim to meet the requirements of Malaysia's Personal Data Protection Act 2010 (PDPA) as well as the EU/UK General Data Protection Regulation (GDPR) where applicable.

2. Information we collect

  • Account & employment data — when a company or worker signs up, we collect the information needed to operate the EOR platform: contact details, employment contracts, payroll, EPF/SOCSO/EIS/LHDN details, bank details, and related documents.
  • Contact form submissions — name, email, company, phone number, and message content.
  • Usage data & cookies — pages visited, device/browser information, and approximate location, collected via cookies and similar technologies. See our Cookie Policy for details.
  • Cookie consent records — when you make a cookie choice (accept all, reject all, or customise), we record that choice, the timestamp, and the page you were on. This record does not contain your name, email, or IP address — it exists solely to demonstrate compliance with consent requirements.

3. How we use information

  • To provide and operate the MalayHire platform, including payroll and statutory filings.
  • To respond to enquiries submitted via our contact form.
  • To understand how visitors use our site and improve it (only with your consent for analytics cookies).
  • To maintain a record of consent choices for compliance purposes.
  • To comply with our legal obligations under Malaysian employment, tax, and data protection law.

4. Sharing your information

We share information with statutory bodies (EPF, SOCSO, EIS, LHDN) as required to employ staff in Malaysia, and with service providers who help us run the platform (e.g. hosting, email delivery, analytics). We do not sell personal data.

5. International transfers

MalayHire serves customers globally. Where data is transferred outside Malaysia, we take steps to ensure it remains protected to a standard consistent with this policy and applicable law.

6. Data retention

We retain personal data only for as long as necessary for the purposes described in this policy, or as required by law (for example, statutory employment and tax records).

7. Your rights

Depending on where you are located, you may have the right to access, correct, or delete your personal data, object to or restrict certain processing, and withdraw consent at any time (for example, by updating your cookie preferences in the footer). To exercise these rights, contact us using the details below.
